1. Purpose

This Confidentiality and Non-Disclosure Policy aims to protect sensitive and privileged information that employees may encounter during their employment. The policy outlines the obligations of staff to maintain the confidentiality of such information and the consequences of unauthorised disclosure.

This policy applies to all employees and contractors that come into contact with confidential or privileged information.

3. Confidential Information

  1. Confidential information includes, but is not limited to, business strategies, financial information, customer and supplier lists, employee records, and proprietary data. Employees are expected to recognise the sensitive nature of this information and handle it with the utmost care.
  2. Client data is considered highly sensitive and must be treated as confidential at all times. Employees are required to adhere to strict protocols when accessing, handling, and storing client data.

4. Non Disclosure:

  1. Employees must not disclose confidential information to unauthorised individuals, both within and outside the organisation.
  2. Confidential information should only be shared on a need-to-know basis, ensuring that only employees with the necessary clearance and responsibilities have access.
  3. Employees are required to exercise caution when discussing confidential information in public or unsecured spaces, such as meetings, emails, and phone conversations.

5. Data Security

All employees are responsible for implementing an following internal data security measures as outlined in Felcorp's Data Protection Policy.

6. Breach of Confidentiality

Any breach of this policy, whether intentional or accidental, may result in disciplinary action, up to and including termination of employment. A breach on confidentiality on a wilful or gross misconduct basis is classified as a serious misconduct.

7. Reporting

Employees must report any suspected or confirmed breach of confidentiality to management immediately to mitigate potential damage and rectify the situation swiftly.

8. Policy Review

This Confidentiality and Non-Disclosure Policy is subject to regular review to ensure its relevance and effectiveness in protecting the organisations sensitive information. Reviews will be conducted annually or as needed, in response to changes in legal requirements, business operations, or emerging security threats. Employees are encouraged to provide feedback on the policy to help identify any areas needing improvement. Any updates or revisions to the policy will be communicated promptly to all staff members.
